Vendor Information
The Chicago Winter Bike Swap will be held on Sunday, January 29, 2017

 from 9:30-3:30 at Harper College in Palatine.

**all vendor space pricing remains unchanged since 2009**

10' x 10' vendor space is $175.  This space includes one 8' table, 2 chairs and 2 vendor passes.

20' x 10' vendor space is $325.  This space includes two 8' tables, 2 chairs and 3 vendor passes.

30' x 10' vendor space is $450.  This space includes three 8' tables, 3 chairs and 4 vendor passes.

20' x 20' vendor space is $550.  This space includes four 8' tables, 3 chairs and 5 vendor passes.

30' x 20' vendor space is $625.  This space includes five 8' tables, 4 chairs and 6 vendor passes.

8' x 8' vendor space is $85.  This space includes one 6' table, 2 chairs and 2 vendor passes.  Limit one 8' x 8' space per vendor.  No exceptions. 

5' x 6' vendor space is $45.  This space includes one 6' table, 1 chair and 1 vendor pass.  Limit one 5' x 6' space per vendor.  No exceptions.

An extra 8' table can be rented for $20 and/or an extra 6' table can be rented for $15.

Extra vendor passes may be purchased for $10 per vendor pass.  The vendor pass allows a person entry to the bike swap before the doors open to the public during vendor unloading.  Vendor passes may only be purchased if you have reserved a vendor space of any size.

All vendors registering for a 20' x 10' size or larger will be guaranteed at least one corner space.

All vendors registering for a 10' x 10' size or larger may have a logo and link listed on the CWBS website.

All vendor spaces and their respective locations will be allotted on a first come, first served basis.  No exceptions.

All vendor registrations must be paid in advance to secure the requested space.  All payments are non-refundable.

Vendors must conduct all business/promotion within their vendor space, unless selling bikes in the bike corral.  Vendors are not allowed to roam the room for promotion or selling products.  Any vendor doing so will be asked to leave the bike swap.  No exceptions.

Soliciting of any kind, including distribution of flyers, on the grounds or parking lot is strictly prohibited by Harper College.

All product displays, tables, personnel, etc, for each vendor must fit in and remain in the allotted space purchased by the vendor.  Any vendor exceeding the space requirements of their purchased vendor space will be required to purchase the appropriately sized vendor space.  No exceptions.

All vendor registrations must be received by January 27, 2017.

Vendors may place bikes in the bike corral for a fee of $10 per bike with a maximum of 15 bikes per vendor.  All bike corral spaces must be purchased in advance and will be allotted on a first come, first served basis.  No exceptions.  Vendors are encouraged to bring tools to adjust sizing for bikes and trainers to allow customers to test ride the bikes.

Individuals wishing to sell one bike may do so in the Singles Swap Section for a fee of $15 per bike, plus the cost of admission, both of which will be paid at the door the day of the bike swap.  Each individual seller will receive a Singles Swap Section tag for their bike, allowing them to sell in the designated area.  Individuals are only allowed to sell bikes in the Singles Swap Section and are not allowed to bring any additional products of any kind to sell.  If an individual wishes to sell a bike and additional products, a vendor space must be purchased.

120V electrical outlets may be rented for $125 for the day of the bike swap.  This rate is the fee charged by Harper College.

Retail and manufacturer vendors may begin unloading at 7:00am on January 29, 2017.  Team and individual unloading begins at 8:00am.  Please arrive at your correct time.

For safety and liability reasons, vendors are not allowed to begin breakdown until 3:30.  All vendors must be out of the venue by 5:00.

Please do not damage any of the walls, floors or any property of Harper College.  Any damage caused by a vendor, their employees, members, volunteers or representatives will be the responsibility of the vendor to reimburse, repair or replace.

The Chicago Winter Bike Swap, Harper College or any employee, member, student or representative thereof are not responsible for any lost, stolen and/or damaged items of any vendor.

By registering for the Chicago Winter Bike Swap each vendor agrees to the terms and conditions stipulated herein.
